A firm's business development efforts are stifled without current, consistent data on contacts and companies known by the firm. In many cases, this data is kept in office contact management systems like MS Outlook. Cole Valley recognizes this, and understands that by leveraging existing systems the firm ensures that contact data will be accessible firm wide. ContactEase synchronizes contact information from your office e-mail system with the ContactEase database. In this way, ContactEase implementations are able to maintain existing office procedures resulting in less impact on the firm.

Users Access Data Through Familiar Interface
Allowing users to access and maintain contact data through a familiar interface offers obvious advantages. By utilizing e-mail software, little to no training is necessary. This translates to a smooth transition, where users are more likely to support the new system by maintaining accurate contact data.

Easy to Use
Users simply enter a contact in Microsoft Outlook, which synchronizes with ContactEase (except for contacts marked private). A duplicate checking process is run on the data as it is entered to ensure that the ContactEase database does not contain duplicate contacts and companies. Changes made to the records by another Outlook user (with proper permission) will be updated in ContactEase, and in turn reflect back to any other copies of that record in any user's Outlook file.
