| A firm's business
development efforts are stifled without current, consistent data on
contacts and companies known by the firm. In many cases, this data
is kept in office contact management systems like Lotus Notes, and
users are already familiar with the product. Cole
Valley recognizes this, and understands that by leveraging existing
systems the firm ensures that contact data will be accessible firm
wide. ContactEase synchronizes contact information from the
individual Lotus Notes address books with the ContactEase database,
with no user intervention. In this way,
ContactEase implementations are able to use existing applications, resulting in
little or no additional training. ContactEase then coordinates
this previously uncoordinated information, and adding a whole new
level of knowledge and eliminating multiple data entry points.
Users Access Data
Through Familiar Interface Allowing users to
access and maintain contact data through a familiar interface offers
obvious advantages. By utilizing existing software, little to no
training is necessary, and procedures do not need to be
substantially changed. This translates to a smooth transition, where
users are more likely to support the new system by maintaining
accurate contact data.
Easy to
Use Users simply enter a contact in Lotus Notes Address Book,
which
synchronizes with ContactEase (except for contacts marked private).
A duplicate checking process is run on the data as it is entered to
ensure that the ContactEase database does not contain duplicate
contacts and companies. Changes made to the records by another user (with proper permission) will be updated in
ContactEase, and in turn reflect back to any other copies of that
record in any user's Outlook file.
